This MVE Privacy Notice explains how personal information is handled when you enquire about, request or purchase a service from Memento Vid Enhancements™ by MMP®.
This notice should be read alongside the general Mish Mash Publications Privacy Policy, which applies to the wider Mish Mash Publications website.

For the purposes of UK data-protection law, Mish Mash Publications Ltd is normally responsible for deciding how personal information is used in connection with MVE services.
In this notice, Mish Mash Publications Ltd and Memento Vid Enhancements™ by MMP® may be referred to as “MMP,” “MVE,” “we,” “us” or “our.”

join or enquire about a monthly MVE membership;

request an MVE Business Hub service;

approve a quote;
-
make a payment;
-
review a draft film;
-
request revisions; or

receive a completed film.
General website browsing, cookies and wider MMP website activity are covered by the general Mish Mash Publications Privacy Policy and any relevant cookie notice.
3. Personal Information We May Collect
Depending on the service requested, we may collect:

the approximate number of submitted files;

soundtrack preferences;

intended viewing or sharing platforms;

3.4 Customer-Supplied Media
You may choose to provide:

short video clips;

audio recordings;

voice notes;

written messages;

logos;
-
brand assets;
-
product images;
-
testimonials;
-
graphics;
-
stock assets;
-
supplier materials; and
-
other agreed digital files.
These materials may include personal information about you or other individuals appearing in the submitted media.
3.5 File-Sharing Information
Where you provide a secure file-sharing link, we may collect or receive:

access permissions;

folder names;

filenames;
-
file metadata;

upload dates; and

other information necessary to access and organise the submitted files.
3.6 Administrative and Payment Information

Where a third-party payment provider processes a transaction, we do not normally receive or store your complete payment-card details.

Customer-supplied photographs, clips, audio recordings and written materials may include personal information about other people.

other individuals appearing in submitted materials.
Before submitting any materials, you must ensure that you have the necessary permission, authority or valid legal basis to provide them to MVE for editing.
Where children or vulnerable individuals appear, you must ensure that the necessary consent or authority has been obtained before submitting the files.
MVE may ask you to confirm your authority or provide further information where appropriate.
5. How We Collect Personal Information
We may collect personal information:

directly from you through the MVE Service Request Form;

when you contact us by email or another approved communication method;

when you upload files;

when you provide a file-sharing link;

during quote discussions;

when you approve an order;

during the editing, review and revision process;

where another authorised person submits a request on your behalf.
For MVE Business Hub projects, information may also be supplied by an authorised employee, contractor or representative of the customer organisation.

We will not use customer media for an unrelated purpose without an appropriate reason or separate permission.
7. Our Lawful Bases for Using Personal Information
Under UK data-protection law, we must have a lawful basis for using personal information.
Depending on the circumstances, we may rely on:

We may use personal information where it is necessary to:

Withdrawal of consent does not affect processing that lawfully took place before the withdrawal request was received.
8. Sensitive Information
Some photographs, recordings or written materials may incidentally reveal information that is more sensitive in nature.
For example, submitted materials may relate to:

religious events;

family circumstances; or
-
other private matters.
MVE does not ask customers to submit unnecessary sensitive information.
MVE does not use submitted materials to profile individuals, identify sensitive characteristics or create its own AI-training dataset.
Where sensitive information is included, MVE will handle it only where reasonably necessary to provide the agreed service and where an appropriate legal basis applies.
MVE may ask for clarification, request additional permission or decline to process a file where necessary.
9. Children and Young People
MVE services are ordered by adults aged 18 or over.
MVE does not knowingly accept orders placed directly by children.
Where submitted media includes a child or young person, the customer confirms that they are:

the parent or legal guardian; or
-
authorised by the parent or legal guardian to provide the material for editing.
Customers should avoid submitting unnecessary information about children.
MVE may refuse, pause or close a project where the required permission is unclear.
10. How We Share Personal Information
MVE does not sell customer information or customer media.
We may use trusted service providers where reasonably necessary to deliver the agreed service.
These may include providers used for:

website hosting;
-
online forms;
-
file uploads;
-
cloud storage;
-
file transfer;
-
email communications;
-
payment processing;
-
invoicing;
-
accounting;
-
creative editing;
-
approved AI-assisted enhancements;
-
licensed assets;
-
technical support; and
-
legal or regulatory compliance.
Examples may include website-platform providers, payment providers, Microsoft OneDrive, Google Drive, email providers and approved editing tools where relevant to the project.
We will only share information that is reasonably necessary for the relevant purpose.
Where required, service providers are expected to handle personal information in accordance with their applicable data-protection obligations and contractual responsibilities.
We may also disclose information where:

required by law;
-
required by a court, regulator or lawful authority;

necessary to prevent fraud or misuse;

necessary to protect our legal rights; or

necessary to respond to a dispute or complaint.
11. Payment Providers
Where you receive a secure payment link or complete a checkout transaction, a third-party payment provider may process your payment information.
Available payment options may vary depending on:

customer eligibility;

service type;
-
third-party provider availability; and
-
the provider’s own terms.
The payment provider may apply its own privacy notice and customer terms.
MVE may receive information such as:

amount paid;

refund status; and
-
limited customer details are needed to manage the order.
MVE does not control a third-party provider’s approval decision, eligibility assessment or spending limit.
12. AI-Assisted Tools
Where selected and agreed, MVE may use approved AI-assisted tools for creative or technical enhancements.
These may include:

image-to-video movement;
-
visual improvement;
-
sharpening;
-
upscaling;
-
lighting or colour enhancement;
-
sound effects; and
-
other agreed treatments.
AI-assisted enhancement is optional, where stated as an Add-On Finish or separately quoted feature.
Results vary depending on the original media, and perfect results cannot be guaranteed.
Where an approved third-party AI-assisted tool processes customer media, MVE will limit the use of that tool to the agreed project purpose.
MVE will not use customer media to create its own AI-training dataset.
13. MVE Business Hub Projects
For some MVE Business Hub projects, a business or organisation may provide personal information about its employees, customers or other individuals.
The business customer is responsible for ensuring that it has the necessary permission, authority or lawful basis to supply those materials.
In some cases, the business customer may be responsible for deciding how the submitted information is used, while MVE processes the materials only to carry out the agreed editing instructions.
Where necessary, project-specific privacy or data-processing requirements may be agreed separately in writing.
14. International Data Transfers
Some service providers may store or process personal information outside the United Kingdom.
Where this happens, MVE will take reasonable steps to use providers that apply appropriate protections and to follow applicable UK data-protection requirements.
Depending on the provider and location, these protections may include:

an approved adequacy arrangement;
-
appropriate contractual safeguards; or
-
another lawful transfer mechanism.
You may contact us for further information about the safeguards relevant to a particular service provider.
15. How Long We Keep Personal Information
We keep personal information only for as long as reasonably necessary for the purpose for which it was collected, including any legal, accounting, regulatory or dispute-resolution requirements.
15.1 Uploaded Media and Working Edit Files
Customer photographs, clips, audio files and working edit files are stored temporarily.
They will normally be deleted from MVE’s active storage within 14 days after:

final approval;
-
delivery and project completion; or
-
project closure.
Customers must download and safely store their completed film promptly.
15.2 Declined or Inactive Requests
Where a request does not proceed, files will be deleted as soon as reasonably practical and normally within 14 days after the request is closed.
15.3 Administrative Records
We may retain limited administrative records where reasonably necessary.
These may include:

service-request records;
-
quotes;
-
signed acknowledgements;
-
consent records;
-
invoices;
-
transaction details;
-
correspondence;
-
complaint records; and
-
records needed to resolve disputes.
Accounting and tax records may need to be retained for at least six years from the end of the relevant company financial year, or longer where the law requires.
15.4 Marketing Preferences
Where you opt in to receive MVE news, offers or updates, we may retain your contact details until you unsubscribe or withdraw your permission.
Where you unsubscribe, we may retain a limited suppression record so that we can respect your request and avoid sending further marketing emails.
15.5 Portfolio Permission
Where you separately allow selected materials to be used for marketing or portfolio purposes, the relevant permission record may be retained while the permission remains active and for a reasonable period afterwards, where necessary to demonstrate what was agreed.
15.6 Provider Backup Cycles
After active deletion, limited residual copies may temporarily remain within secure provider backup systems until overwritten or deleted in accordance with the provider’s normal retention cycle.
16. How We Protect Personal Information
MVE takes reasonable organisational and technical steps to protect personal information.
These may include:

limiting access to files;
-
using approved platforms;
-
using secure file-sharing routes;
-
applying appropriate access permissions;
-
deleting media when it is no longer needed;
-
keeping customer files separate from public marketing materials; and
-
reviewing service-provider suitability where appropriate.
No online service, storage platform or transfer method can be guaranteed to be completely risk-free.
Customers must keep secure copies of their own original files before uploading or sharing them with MVE.
MVE is an editing service and is not a permanent storage or backup provider.
17. Marketing Emails
Marketing emails are optional.
You will not receive MVE news, offers or promotional updates unless:

you have actively selected the optional marketing checkbox; or
-
another lawful marketing route applies.
You can unsubscribe at any time by:

using the unsubscribe option included in the email; or
-
contacting info@mishmashpublications.com.
Choosing not to receive marketing messages will not affect the service you receive.
18. Marketing and Portfolio Use of Customer Media
Customer photographs, clips, audio recordings and completed films will not be published on the MVE website, used in a portfolio, included in advertising or shared on MVE social-media channels without separate written permission.
Permission for marketing or portfolio use is optional.
Choosing not to provide permission will not affect the service you receive.
Where permission is given, it must be specific to the agreed use.
You may withdraw permission for future use by contacting:
Withdrawal does not require MVE to remove materials from printed items or campaigns already completed before the withdrawal request was received where removal is not reasonably possible.
19. Automated Decisions
MVE does not use customer information to make solely automated decisions that produce legal or similarly significant effects.
Where a third-party payment provider offers instalment payments or another payment option, that provider may carry out its own eligibility or approval checks under its own terms and privacy notice.
MVE does not control those decisions.
20. Your Data-Protection Rights
Depending on the circumstances, you may have the right to:

ask for access to the personal information we hold about you;

ask us to correct inaccurate information;

ask us to delete information where the right applies;

ask us to restrict how information is used;

object to certain uses of your information;
